Licensing
How is HighGear Licensed?
HighGear is licensed per “Contributor” – all other users are free.
- A “Contributor” is a user that edits more than 5 tasks per day or 15 tasks per 30-day period, or that is assigned to more than 5 open tasks.
- All other users and contact records can be assigned up to 5 open tasks at any one time without needing a license. If they close two tasks, they can be assigned two more; the limit only applies to open tasks.
- HighGear users that only create/initiate/request tasks, run reports, or perform administration work do not require a license regardless of the number of tasks created/requested.
- Organizational Units, Queues, and Assets do not require a license.
Workflow Automation
You say no code, but is it really?
Yes, HighGear is a pre-built functionally complete fully configurable platform that does not require writing a single line of code. All features, including our integration capabilities, have been designed for the everyday business user. The creation of forms, workflow, dashboards, etc., can be designed to execute automations by simply pointing and clicking and dragging and dropping an easy-to-use intuitive UI. For those that wish to code, HighGear offers a robust REST API capable of solving all complex and custom needs.
If I make a change to a Workflow (or Form, or Field, etc), how long does it take to “go live”?
When we say “real-time”, we mean it! All changes can be made on-the-fly and published instantly for the end user. The platform is highly flexible, adaptable, and designed to align with enterprise change management best practices.
Can I have a Request route to one person/team vs another person/team based on criteria?
Yes, HighGear workflow is a transactional engine that can be configured to assign and route work at scale across an entire organization. All actions and decisions, from the very simple to the highly complex, can be executed easily, with end-to-end built-in traceability.
Can I Develop a Process in One System and Transfer it to Another?
Yes, and as a best practice we highly recommend all customers leverage the Development, Staging, and Production environments that we offer. The purpose of each environment is to allow you to version and promote your processes from creation, through to testing and evaluation, to ultimately launching the workflow into full production when you’re ready to go live! All of which can be accomplished by using our Configuration Synchronization feature built into the platform.
How can I get help with HighGear?
HighGear offers a comprehensive Help section, accessible from within the platform. Our customers also receive training through our online learning management system, HighGear University. Administrators of the platform are offered a 3-day in-person training, which is conducted monthly. We also offer world-class Customer Success and Support services.
Enterprise Task Management
Can I assign more than one person to a task?
Yes, multiple people or teams can be assigned to projects/tasks.
Is there an easy way to create tasks that repeat?
Yes, HighGear allows you to create recurring tasks by using our Recurring Tasks Template feature. The templates can be designed to suit your business requirements within our Form Design studio. Schedules can be determined by Run Date or Due Date, down to the days, hours, and minutes, on business or calendar days, includes time zones, and according to a daily, weekly, monthly, or yearly pattern.
Can I easily see where my team’s tasks are and who’s actively working on tasks?
Yes, Dashboards can be configured to manage and track all assigned projects or tasks in HighGear. Specific filters can be set to capture and display any and all data that you would like to see, and for that all to be presented to you in real-time.
Can my users be notified when they receive a request or when a request goes past due?
Yes, HighGear offers multiple ways in which users can be notified. Automations can be enabled within system settings, user preferences, within a project or task, via our chat feature, and by workflow. You can receive notifications in-app, by email, and even by text. Dashboards can also be configured to display time-based metrics to help you manage deadlines.
Can the system record multiple stage approvals?
Yes, and this is recorded in multiple places. HighGear forms can capture and display approvals. Workflow can trigger and record the automation of approvals. Dashboards can report on approvals. HighGear also offers a non-repudiated built-in audit trail that records all activity within the platform.
Can you attach files to a project/task? How large can the files be?
Yes, HighGear offers built-in Attached Files fields. You can also create your own in our Form Design studio. Multiple files can be attached to a record. Simply drag and drop or upload a file from another file location. File size is determined by you. The full history of file uploads, edits, and versioning is captured as well. Permissions can also be configured to grant read-only, read/write, or set to no access to allow you to manage attachments.
Can the system capture email conversations?
Yes. HighGear also offers a built-in Inbound Email Rule feature that allows you to automate the intake of an email, and have that email create a task upon receipt. The Record Email Conversation option can be enabled within each rule to continue corresponding directly in HighGear while capturing the full email thread.
If a Task goes past due, can it be escalated to a manager?
Yes. All critical milestones and deadlines can easily be configured and automated by HighGear workflow, and trigger all required alerts based upon when you want someone to be notified. You define the time-based escalation to notify the user before or after should you wish to be proactive or reactive to the task at hand.
Can HighGear calculate SLA values?
Yes. HighGear workflow is fully capable of calculating and automating SLAs, allowing you to manage, measure, report, and improve upon them throughout the lifecycle of your business process.
Can HighGear show me how utilized my team is?
Yes. HighGear’s Resource Utilization feature allows you to track tasks and who they are assigned to, by the hour, day, week, or month. This can be managed at individual, team, department, or organization levels. Multiple dashboards can be configured to allow you to view more than one stream of work at a time. This feature is driven by HighGear Work Schedules defined within a HighGear contact record. The assigned tasks will have a designated Start and End Date that captures and records the time your resources are utilized.
Can I do asset management in HighGear?
Yes, and HighGear already offers a built-in Contact Type, called Asset for you to do just that! Create your own Asset types, templates, and manage them according to your business needs. Workflow automations can also be configured to update and retrieve information about an Asset while the assigned projects and tasks manage the work associated with each Asset.
Can I configure portals for external users?
Yes, HighGear offers portals as part of our HiSAFE suite of features. Portals can be quickly and easily configured, and securely deployed for external use to create or engage in work associated with projects or tasks that are managed by the platform.
What Functionality is Available in HighGear Mobile?
HighGear mobile is ideal for those that need fast and secure access to their dashboards, projects, and tasks, allowing them to manage work while on the go with a lightweight easy-to-use look and feel.
Setup and Installation
Is HighGear cloud-based or installed on my server?
Most HighGear customers choose our cloud offering. It can also be self-hosted by customers that prefer an on-premise subscription of our software.
Who configures the system?
The vast majority of our customers configure HighGear themselves given it’s a no-code platform that requires minimal training to master. However, we do offer Professional Services that, on average, can get a customer up and running in less than 30-days.
Is the administration of the system web-based or client-based?
Do end users need to install any special software on their desktop, laptop, or iPad?
Does the system’s reporting engine prevent users from seeing data they are not allowed to see?
Yes, HighGear offers a highly secure role-based permissions model that can be configured to meet your security requirements, only allowing access or visibility to records to those that have been granted permission.
Can legacy data be uploaded into the system?
Yes, HighGear offers .csv import functionality to address this need. Professional Services can also be leveraged for the more complex custom migrations of data.

Does the system provide no-code integrations using Zapier or Microsoft's Power Platform?
Yes, HighGear provides integration with over 6,000 applications through Zapier and Microsoft Power Platform.
Does the system support integration through a web services API?
